Managing Submissions

Review, process, and respond to application submissions.

Viewing Submissions

From a Specific Form

1. Go to Applications
2. Click "View Submissions" on a form card
3. See all submissions for that form

Submission List

Each submission shows:

Submission Status

Pending

• Just submitted, awaiting review
• No action taken yet

In Review

• Being actively reviewed
• Moderator has started looking at it

Accepted

• Application approved
• Applicant notified

Rejected

• Application denied
• Applicant notified

Viewing a Submission

Click on any submission to see full details:

Applicant Information

• Discord account details
• Roblox account (if verified)
• Account ages and join dates

Responses

All answers the applicant provided, displayed with:

• Question label
• Their response
• Field type indicator

Timeline

History of status changes:

• When submitted
• When status changed
• Who made changes

Processing Submissions

Mark as In Review

Let your team know you're reviewing:

1. Open the submission
2. Click "Mark In Review"
3. Status updates to "In Review"

Accept an Application

1. Open the submission
2. Click "Accept"
3. Optionally add a message to the applicant
4. Confirm

The applicant receives a Discord DM notification.

Reject an Application

1. Open the submission
2. Click "Reject"
3. Optionally add a reason (shown to applicant)
4. Confirm

The applicant receives a Discord DM notification.

Filtering & Sorting

Filter by Status

• All - Show everything
• Pending - Only unprocessed
• In Review - Currently being reviewed
• Accepted - Approved applications
• Rejected - Denied applications

Sort Options

• Newest First - Most recent submissions first
• Oldest First - Oldest submissions first

Search

Search for specific applicants by:

• Discord username
• Roblox username

Deleting Submissions

1. Open the submission
2. Click "Delete"
3. Confirm

Warning: This permanently removes the submission!

Notifications

Discord Log Channel

If logging is enabled, new submissions post to your log channel with:

• Applicant information
• Form name
• Link to view submission

Applicant Notifications

Applicants automatically receive DMs when:

• Application is accepted (with optional message)
• Application is rejected (with optional reason)

Best Practices

Timely Processing

• Review applications within 48-72 hours
• Set to "In Review" when you start
• Don't leave applicants waiting

Consistent Evaluation

• Use the same criteria for everyone
• Discuss with team for important decisions
• Document your reasoning

Constructive Feedback

• When rejecting, explain why (optional but helpful)
• Suggest what they could improve
• Be professional and respectful

Organization

• Process pending applications regularly
• Use status filters to stay organized
• Archive or delete old processed submissions
